Noble Consultants-G.E.C. Inc. is a civil engineering firm specializing in coastal, structural, and water resources engineering, and assists in the planning, design, and management of civil, coastal, estuarine, and harbor engineering projects. With offices in multiple states, our company has decades of history in Southern California. The successful candidate will join Southern California operations in the Irvine office. As a small group, our roles within the company often go beyond narrow tasks typical of a large corporate office structure. An ideal Administrative Assistant has a sense of business acumen and should be excited about assisting and partaking in company growth.



The Administrative Assistant assists the engineering team with clerical duties and responsibilities that include greeting and directing guests, clients and vendors either in person or by phone, processing incoming and outgoing mail and shipments, booking travel arrangements, managing office resources and equipment, filing project data, scheduling office events and maintaining a professional front office appearance. The Administrative Assistant will assist Team Managers in monitoring and preparation of proposals, reports and project specifications.




  • High School Diploma or equivalent required, college degree preferred
  • At least 5 years’ experience working as an administrative assistant or similar role
  • Experience working in an engineering environment preferred
  • Experience with proposal development support preferred



  • Proficient in Microsoft Office products, including Excel and Word
  • Must have clerical training, which includes typing, basic filing skills, and fundamental understanding of office procedures
  • Ability to use standard office equipment including computers, phone systems, photocopiers, and printers
  • File and database management
  • Strong organizational skills
  • Ability to multitask with ease and accuracy
  • Ability to work collaboratively as part of a team
  • Strong verbal and written communication skills
  • Strong interpersonal skills



  1. Answer phones, assist with mail, and provide general office administrative support
  2. Assist with billing and other correspondence between clients and the company
  3. Locate historical documents filed for previous engineering projects and proposals to research current and upcoming work
  4. Perform administrative tasks in a timely manner demonstrating attention to detail in relation to calendar management, travel, and expenses
  5. Assist with project proposal development, including assembly and research
  6. Observe, receive, and otherwise obtain information from all relevant sources
  7. Perform day-to-day administrative tasks such as maintaining information files and processing paperwork
  8. Enter, store, and maintain information in written or electronic form
  9. Communicate frequently and timely with supervisors and co-workers
  10. Develop constructive and cooperative working relationships with others, and maintain them over time
  11. Committed to follow (and update when needed) corporate administrative procedures
